Neocasa

Web forms wired into CRM routing, so an enquiry becomes an assigned task instead of an inbox item.

01Overview

Neocasa sells property in Costa Rica. In real estate the gap between an enquiry arriving and an agent responding is the whole commercial problem — the website is only the front half of it.

02Challenge

A contact form that only sends an email pushes the routing decision onto whoever happens to read it first. Leads get picked up twice, or not at all, and nobody can see which is happening.

03Approach

I treated the form as the entry point to a process rather than as the end of one. I designed the web layer and the CRM together, because the handoff between them is where leads get lost.

04Solution

I connected web form submissions to HubSpot workflows that assign the lead and generate the follow-up task automatically. The content side runs on HubSpot as well, so publishing and lead capture share one system.
